How to send back expense reports

As an approver, you have the ability to send submitted and approved expense reports back to spenders for modification. Spenders will then have the opportunity to modify details and re-submit the report for approval.

To send back an expense report for correction, select Expense reports in the left side panel. Then, select Your team’s reports in the drop-down.

Select the expense report you’d like to send back in the list on the page.

Note: Closed expense reports can’t be sent back to spenders.

Once you’re on the View report page, select the three dots icon near the Approve button.

Select Send back from the drop-down list.

In the Send report back pop-up, enter the reason for sending the report back. This reason will be shared with spenders and allows them to make the appropriate corrections.

Select Send back to proceed.

The status of the expense report will now change to sent back, and the reason you provided will be shown as a comment in the report.

The spender will be notified by email that you’ve sent the report back. Spenders can view the reason and make the necessary changes, then resubmit the expense report for approval.
